Electronic versus paper workbook: what is more convenient for the employer

Electronic work books (EWB) have been in use in Russia for more than two years. They are kept for each employee. Megaplan has figured out what the advantages and disadvantages of a digital document are for an employer. When did electronic labor books appear?
On January 1, 2020, all Russians who have a work book were given the opportunity to switch to an electronic version of this document. In June 2022, the Pension Fund announced that 9 million Russians had switched to an electronic work book.

Advantages of electronic labor
1. Fewer mistakes

The main advantage of an electronic work book is convenience. It manifests itself in several aspects. Firstly, when filling out an electronic work book, there is less risk of making a mistake, which often occurs in paper versions. Secondly, the electronic book does not need to be stored anywhere. Accordingly, there are no costs for maintaining personnel document flow. And thirdly, the ETC cannot be lost, which is good for both the employee and the employer.

2. It is easier to find employment remotely

In January 2022, the Rabota.ru service found out that more than half of Russians (56%) would like to work remotely this year. Among the advantages of remote work, workers most often named the fact that such work gives them the opportunity to independently control their schedule and save time on traveling to and from the office.

Electronic workbooks make the process of remote employment easier. You can send the electronic workbook, for example, by e-mail. However, the originals of the contract and the order of employment still need to be signed in person or sent by regular mail - not e-mail.

3. It's more honest

Some workers used to do it like this: they worked in one place for a couple of months, got fired for absenteeism, and then went and bought a new paper work record. This loophole allowed the worker, for example, to hide the reasons for dismissal or irrelevant work experience. The document is clean, so the employer will not know about this trick.

Now the employer can check in the ETC the information that the candidate provides to him for the position, for example, the duration of the last job indicated in the resume.
